What retail businesses in India need

At the counter, billing has to be faster than a calculator and a receipt book, or staff will go back to the receipt book. That means barcode scanning, a keyboard-friendly item search, UPI QR on screen, and a thermal print in under two seconds. The GST invoice, the HSN code and the tax slab need to be right without anyone thinking about them.

Behind the counter, the owner needs stock that matches reality: purchases in, sales out, returns, damages and transfers between outlets. Dead stock and expiry are where the money leaks. A distributor adds order-taking by sales reps in the field, van sales, credit ledgers per retailer and scheme management.

Then comes selling beyond the counter: a WhatsApp catalogue, a simple online store, marketplace listings, and loyalty that brings a customer back. Each of these only works if it reads and writes the same stock and price list as the counter.

The hard parts

  • GST detail. Slabs, HSN codes, composition versus regular scheme, credit notes, and e-invoicing thresholds for larger businesses. The billing engine must model all of it, and the exports must reconcile with what the accountant files. Your CA decides the treatment; the software must make it easy to follow.
  • UPI at the counter. A static QR is easy; matching a hundred daily UPI payments to a hundred invoices is not. Dynamic QR through a payment provider, or bank statement reconciliation, closes that gap.
  • Hardware. Thermal printers, barcode scanners, weighing scales and cash drawers come in dozens of models with different drivers. Test on the actual devices in the shop before launch.
  • Offline billing. Power and internet fail at the busiest hour. The POS must bill locally and sync later without duplicating invoices or invoice numbers.
  • Multi-outlet sync. Two outlets selling the last unit at the same moment, price changes that reach one branch and not another, and stock transfers in transit are classic bugs.
  • Staff turnover. Counter staff change often. If a new person cannot bill within an hour of joining, the interface is too complicated.
  • Low-end devices and languages. Many shops run billing on a ₹10,000 Android tablet or an old desktop. Marathi and Hindi item names and receipts are common in Vidarbha.

A typical stack

Custom retail systems use React or Next.js for counter and back-office screens, Node.js (NestJS) for the API, PostgreSQL for transactions and Redis for caching and queues. Offline POS uses a local database on the device with conflict-safe sync. Payments go through a licensed gateway or UPI provider. Mobile apps for sales reps are React Native. Frequently asked questions

Should I buy POS software or get one built?

For a single shop with standard needs, a subscription product such as our RightSutra BillRight is usually the right call. A custom build makes sense for chains, distributors or businesses with pricing, scheme or integration rules a product cannot model.

Does the POS work without internet?

Yes. We build POS systems that bill locally and sync when the connection returns, with invoice numbering designed so offline sales never collide with online ones.

Can it handle GST invoices and Tally export?

Yes. GST slabs, HSN codes, credit notes and reports are standard, and we export to Tally or your accountant's format. Your CA decides the tax treatment; the software makes it easy to apply.
